
Room Set Up
Here are some guidelines to provide the best program for your audience. If you have any questions, or if your venue can’t accommodate this set-up, let’s discuss what would be best.
Riser:
Please provide a small riser if there are more than 50 participants so everyone can see Ava.
Microphone:
Please have a wireless lavaliere microphone available, and make sure there are extra batteries available
Visuals:
Please provide an LCD projector and screen. Ava will bring her slide show on her laptop. Please set the screen to the side of the stage so the participants can see both Ava and the slides. Ava can also bring her presentation on a flash drive to be used in your in-house computer projection system.
Lighting:
Room as fully lit as possible, especially the stage. If it is possible to remove the light bulb over the screen, this maximizes viewing of the projected images.
Stage:
Please place a small skirted cocktail round for Ava’s laptop and materials. Please have a glass of water with no ice.
Handouts:
A master set of handouts will be provided for the meeting planner to duplicate.
Audio/video recording:
No audio or video recording of any kind is permitted during the presentation without Ava’s prior written permission. Recording can be arranged for an additional fee.
Room Seating:

Keynote or Breakout Session
Please have the audience close to Ava, and have Ava as centered as possible. If the room is rectangular, please have the “front” be along a long wall, not a short one. If seated in rounds, try to seat in crescents so all participants will be facing the stage. If seated theater style, try for a curved effect to enhance the interaction of the group. The aisle should not be directly in the center.

Training Workshop:
Please set room classroom style with tables and chairs. Depending on the topic and length, table groups might be best, so let’s talk specifically about your program. Please have a six-foot draped table at the front of the room for Ava’s materials and laptop.
Learning Resources:
Often we hear “I wish I could take Ava home with me!” or “I wish my colleague was here to hear your message!” Many participants want to take Ava’s wisdom with them. In order to make that happen, many organizations purchase Ava’s books and/or CDs in advance to present to each audience member. Ava will pre-sign each of these books. If not purchased in advance, we have found it beneficial to your participants to offer Ava’s books and CDs for purchase after the program. Two six-foot tables will be needed in the back of the room for this.
